Information We Collect

Information You Provide Directly

Account registration details (name, email address, password)
Property addresses and any notes or instructions you enter during analysis
Documents you upload for analysis (deeds, surveys, Phase I reports, etc.)
Payment and billing information — processed by Stripe; we do not store card numbers
Communications you send to us (support requests, feedback)

Information Collected Automatically

Log data: IP address, browser type, pages visited, timestamps, and referring URLs
Usage data: features used, searches performed, reports generated
Device information: operating system, screen resolution, and device identifiers
Cookies and similar tracking technologies (see Section 7)

Information from Third-Party Integrations

Google OAuth: If you connect your Google account, we access your email address and — only if you enable Gmail outreach — the ability to send and read emails on your behalf.
Microsoft Outlook API: Same scope as Gmail, used only if you connect your Outlook account for automated outreach.
Google Maps / Places API: Property addresses you enter may be passed to Google to resolve location data.
Public records sources: Scout queries publicly available databases (zoning registries, FEMA flood maps, county parcel records, etc.) and may store the results.

How We Use Your Information

We use the information we collect to:

Provide, operate, and improve the Scout Service
Generate property intelligence reports using AI models (Google Gemini and other LLM providers)
Send automated outreach emails on your behalf when you explicitly instruct us to via Gmail or Outlook integrations
Process payments through Stripe
Communicate with you about your account, updates, and support requests
Detect and prevent fraud, abuse, or security incidents
Comply with legal obligations
Conduct internal analytics to understand and improve the Service
We do not use your property addresses or uploaded documents to train AI models, and we do not sell your personal data to third parties.

How We Share Your Information

Service Providers

We share data with vendors who help us operate Scout, including:

Stripe — payment processing
Supabase — database hosting and authentication
Google (Gemini API, Maps API, Gmail API) — AI processing and mapping
Microsoft (Outlook API) — email integration
Hosting and infrastructure providers

These providers are contractually bound to use your data only to provide services to us.

At Your Direction

When you use Scout to send outreach emails, content is shared with the municipalities, planning departments, or contacts you designate. You control who receives outreach sent via Scout.

Legal Requirements

We may disclose information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of our company, users, or the public.

Business Transfers

If Sortable, Inc. is involved in a merger, acquisition, or sale of assets, your information may be transferred. We will notify you via email prior to any such transfer.

Data Retention

We retain your account information and property analysis data for as long as your account is active or as needed to provide the Service. If you delete your account, we will delete or anonymize your personal data within 30 days, except where legally required to retain it (e.g., Stripe transaction records).

Uploaded documents are retained until you delete them or close your account. You may delete uploaded files at any time from within the Service.

AI Processing & Automated Analysis

Scout uses large language models (including Google Gemini) to analyze property data and generate reports. This processing is automated. Outputs — including risk scores, zoning summaries, and flagged concerns — are for informational purposes only and do not constitute legal, financial, or professional real estate advice.

You should verify Scout's findings with qualified professionals before making any investment, development, or legal decision. Scout is a research tool, not a substitute for professional due diligence.

Property addresses and document content you submit may be transmitted to AI model providers for processing. We select providers whose terms prohibit use of your data to train their models.

Data Security

We implement commercially reasonable security measures to protect your information, including:

Encryption of data in transit (TLS) and at rest
Access controls limiting employee access to personal data
Secure database hosting via Supabase
Regular security reviews

No method of transmission or storage is 100% secure. If you believe your account has been compromised, contact us immediately at privacy@scout-ai.dev.

Cookies & Tracking

We use cookies and similar technologies to maintain your login session, remember your preferences, and collect analytics about Service usage.

Cookie types we use

Essential cookies — required for the Service to function (cannot be disabled)
Analytics cookies — help us understand how users interact with Scout (you may opt out via browser settings)

Google Fonts loaded on our marketing pages may also set cookies. Disabling cookies may affect Service functionality.

Your Rights & Choices

Depending on your location, you may have the following rights:

Access — request a copy of the personal data we hold about you
Correction — request that inaccurate data be corrected
Deletion — request deletion of your account and associated data
Portability — request your data in a machine-readable format
Objection — object to certain types of processing, such as marketing emails
Withdrawal of consent — disconnect Google or Outlook integrations at any time from your account settings

To exercise any of these rights, contact us at privacy@scout-ai.dev. We will respond within 30 days and do not discriminate against users who exercise their privacy rights.

California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the CCPA:

Right to know what personal information we collect, use, and share
Right to delete your personal information
Right to opt out of the sale of your personal information — we do not sell personal information
Right to non-discrimination for exercising your rights

Children's Privacy

Scout is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected information from a minor, please contact us and we will delete it promptly.

Geographic Scope

Scout is intended for use in the United States only. The Service provides property intelligence for US-based properties and jurisdictions. If you access the Service from outside the US, your data may be transferred to and processed in the United States.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the Effective Date at the top of this page and notify registered users by email at least 14 days before material changes take effect. Continued use of the Service after changes become effective constitutes your acceptance of the updated policy.
